How do I set up a Voting Matter?
During a meeting, new voting matters or resolutions like election tiebreakers may arise that were not part of the advanced vote. Use the Dashboard to quickly create these questions and capture accurate participant votes.
Choosing Between Real-Time Voting (RTV) and Zoom Polls
When a new resolution arises during a Meeting, evaluate whether to use the Real-Time Voting (RTV) tool or standard Zoom polls based on the scenario guidelines below.
Use RTV when:
-
You must include advanced votes (such as proxy votes).
-
You must exclude votes from ineligible voters (such as units in arrears).
-
You must account for weighted votes from multi-unit owners.
Use Zoom Polls when:
-
You run a simple or routine motion (such as closing a nomination period).
-
You allow ineligible voters to participate.
-
You only require a general show of hands.
Add a New Voting Matter:
-
Navigate to Questions on the left vertical navigation bar.
-
Click +CUSTOM QUESTION under the Live Vote section on the right side of the screen.
-
Click New Question! at the bottom of the Live Vote Questions section to open the question customization page.

Create an Owner-Occupied Voting Question:
You can apply additional voting restrictions to limit participation exclusively to owner-occupiers.
Click the Owner-Occupied Question toggle to limit the voting matter to owner-occupiers.
Note: The sub-option Allow all units to self-declare as Owner-Occupied is enabled by default.
Navigate to Membership from the left menu to confirm your owner-occupied data is uploaded.
Verify the far-right "Custom Data" column displays both owner_occupied: true and owner_occupied: false. Both values must be present for the voting restriction to work properly.

Common Questions:
What if I need assistance with setting up a new voting matter? If you experience technical difficulties, contact your level 1 support team member for assistance.
Why can't I just use a Zoom Poll for a new voting matter? RTV ensures that ineligible voters are excluded from the vote and that weighted votes for multi-unit owners are calculated accurately.
