GetQuorum maintains voting integrity through a multi-layered approach, ensuring every vote is accurate, secure, and verifiable from initial setup to the final tally.
1. Pre-Meeting Setup Audit
Before distributing any voting materials, the GetQuorum audit team performs a comprehensive verification process. They cross-reference the Meeting setup against official documentation to ensure governance rules, local regulations, and voting parameters are correctly configured.
- Data Accuracy & Procedures: We rely on the initial roster provided by the client to be accurate. To maintain strict security, any client requests that fall outside our general procedures and guidelines must be submitted in writing.
2. Voter Verification and Security
This platform employs cryptographic token-based authentication to prevent fraud. To vote electronically or attend the virtual meeting, voters must authenticate their identity using cryptographic security measures.
- Cryptographic Security Tokens: Our platform requires a unique cryptographic security token to be supplied in order for a vote to be cast. This token is embedded directly into each voter's custom email link, tied to their specific unit, and cryptographically signed to make it completely unguessable. Without this token, a ballot is automatically rejected.
- Circumvention Protection: Because this cryptographic token is strictly required to validate a voter's identity, users cannot circumvent our voting integrity measures by using a VPN or TOR network. Furthermore, the system enforces strict voting limits, ensuring a voter may only cast exactly one vote per unit.
- This process prevents duplicate voting and ensures only authorized individuals access the ballot.

3. Digital Audit Trail
The platform creates a permanent, date-and-time-stamped record of all voting activity.
- Instant Confirmation: Owners receive an email with a PDF copy of their submitted electronic proxy and/or ballot.
- Verification Reporting: In the event of an audit, GetQuorum generates comprehensive reports verifying voter eligibility, submission timestamps, and final tallies while maintaining required voter anonymity.
- Activity Logging & IP Screening: GetQuorum records the IP addresses of every submission and logs all user inputs directly within the GetQuorum Dashboard. This allows our team to actively screen for, track, and investigate any suspicious activity.
4. Third-Party Neutrality
As an independent provider, GetQuorum removes human error and potential bias from the election process by automating quorum and tally calculations.
- Contractual Safeguards: In accordance with our Master Services Agreement and Terms of Use, GetQuorum takes all reasonable, legally binding precautions to protect your proprietary information, ensuring it is never used or divulged to unauthorized third parties.
