What does GetQuorum's Moderator do?
Learn about the responsibilities and scope of the Moderator during a meeting.
Overview
Our moderators help ensure your meeting runs smoothly by managing technical tasks, attendance, and voting procedures. Moderators do not chair meetings and rely on your designated chair for all final decisions.
Standard Moderator Responsibilities
When hosting your meeting, our moderators’ responsibilities include, but are not limited to:
-
Starting and running the Pre-Meeting to walk the chair and board through slides, meeting specifics, and procedures.
-
Executing processes and decisions based on the chair's direction throughout the meeting.
-
Facilitating spoken Q&A sessions as instructed by the chair.
-
Answering written Q&A questions strictly regarding technical issues, including audio, video, or voting troubleshooting.
-
Verifying and announcing attendance numbers to confirm a quorum.
-
Identifying joining members.
-
Helping identify movers and seconders for motions.
-
Facilitating voting via Zoom poll or real-time voting (RTV) when called by the chair.
-
Providing or sharing voting results at the chair's request.
-
Sharing their screen to display required documents or reports.
Note: Our moderators do not chair meetings. They leave all final decisions regarding meeting-related matters to the Chair.
Using Your Own Zoom Meeting Link or VBM
For the best experience, we recommend having us host the meeting. Using an external Zoom link or VBM disconnects our integrated system and limits our moderators capabilities.
What We Cannot Do
Using a custom Zoom link or VBM prevents the moderator from performing these actions:
-
Hosting the meeting.
-
Sharing documents or slides on screen.
-
Facilitating Q&A sessions.
-
Confirming attendance figures for a quorum, including verifying that proxy holders are present (if applicable.)
-
Accurately identify members joining based on our systems information.
-
Running live electronic voting, including motions, Zoom polls, or real-time voting (RTV).
-
Identifying movers and seconders for procedural motions.
What We Can Do
Even on your own Zoom link or VBM, the moderator can still assist with the following back-end tasks:
-
Process last-minute changes, such as invalidating or revoking an electronic ballot or proxy.
-
Provide reports on advance electronic votes, proxy holders, and ballot submissions.
-
Confirm the closure of advance voting.
