How do I format and prepare a Designated Voter List?

For Florida communities, the Designated Voters List identifies the specific individuals authorized to cast ballots for each unit, which may differ from the general owner roster.

Overview

A Designated Voter List identifies the specific owners authorized to vote for each unit. This article outlines the formatting requirements for your submission file and explains who should be included on this list.

Formatting Requirements

Submit your file in Excel format (.csv, .xls, or .xlsx). The file must include the following columns:

  • Unit Number/Address
  • Designated Voter(s) Name
  • Designated Voter(s) Email Address
  • Mailing Address (Required only if GetQuorum is handling printing and mailing)

Designated Voters vs. Roster

Your community roster may differ from your Designated Voter List.

  • Designated Voters: The specific individuals authorized to vote for a unit. This is typically the owners listed on the deed, or an individual designated via a Voting Certificate.
  • Review: Consult your governing documents or your corporation's solicitor to verify who qualifies as a Designated Voter for your Meeting.

Note: Ensure you verify voter eligibility before submission, as unauthorized individuals on the list can impact voting validity during the Meeting.

Important Security Protocols

  • Unique Invites: Ensure the email address provided belongs to the designated voter. Voting links are unique to the individual and should not be shared or forwarded.
