How do I upload paper proxies to the Dashboard?

Digitizing paper proxies ensures that all offline submissions are consolidated with electronic votes, allowing for automated tabulation and seamless revocation.

How to Upload Paper Proxies

  1. Log In: Access your GetQuorum Dashboard and navigate to the relevant Meeting Card.

  2. Open Membership: Click the Membership tab on the left-side menu.

  3. Search for Owner: Use the search bar to find the owner (Proxy Giver) by name, unit number, or email address.

  4. Click the Owner Name: Clicking the owner name expands out the unit and owner information
  5. Click Add Proxy: Once the unit and owner information is expanded, click the Add Proxy button.

  6. Assign Proxy Holder: Select the Proxy Holder. You can choose a preset option (e.g., President or Secretary) or select Other to write in a specific name.

    • Note: A proxy holder is required for the proxy to be legally valid.

  7. Input Instructions: Record how the owner instructed their proxy to vote (Directed), or if they deferred/abstained.

  8. Optional Attachment: If you have a PDF scan of the physical proxy, you can upload it here for your internal records.

  9. Submit: Click Submit Proxy. The page will refresh automatically so you can begin the next entry.

Important Requirements

Scrutineer Rule: GetQuorum can only serve as the meeting scrutineer if all paper proxies have been added to the Dashboard.

Manual Entry Only: GetQuorum does not accept scanned copies or photographs. Property Managers must manually enter the data into the system.

Common Questions & Troubleshooting

Why can't I just email a PDF of the paper proxy to GetQuorum? To ensure the security and accuracy of the live vote, the data must be entered into the platform's database. This allows the system to apply revocation logic if that owner shows up to the meeting.

What if I make a mistake during entry? You can return to the member's profile in the Membership tab at any time to edit or delete a previously submitted paper proxy record.
