What are the requirements for preparing a 2nd Notice?
Understand the required documents and compliance guidelines for assembling your association's 2nd Notice package.
Overview
The 2nd Notice package provides owners with final, detailed information regarding the upcoming Meeting, including voting materials and candidate profiles. This guide outlines the essential components required for a complete 2nd Notice submission.
Required Documents
Your 2nd Notice package must include the following materials:
- 2nd Notice Information: The primary informational letter detailing the scheduled Meeting.
- Proxy: (If applicable) The form allowing an owner to appoint a proxyholder to vote on their behalf, or to submit for quorum purposes.
- Ballot: (If applicable) The official voting ballot for elections or resolutions.
- Voting Certificate: (If applicable) The form used to designate a single voting representative for a unit.
- Candidate Bios: (If applicable) Background information and statements submitted by board candidates.
- Supplemental Documents: Any additional materials or disclosures your association wishes to distribute to the ownership.
Package Guidelines
When assembling your package, ensure you follow these operational constraints:
- Legal Compliance: Always consult your governing documents and your association’s attorney to verify the exact notice requirements specific to your association.
- Zoom Links: If GetQuorum is providing the Zoom link for your virtual Meeting, do not include a Zoom link anywhere in your submitted package.
Note: Including external or premature virtual meeting links can cause technical confusion for owners attempting to register or join the Meeting.
