What do I need to send for owners data?

Submit your owner registry in the correct format to ensure your meeting notices are served accurately and on time.

Required Information

Your owners list must include the following data points. If your file contains extra information, our team will clean it to match our system requirements.

  • Unit Numbers

  • Owner Names

  • Owner Email Addresses

  • Mailing Addresses: Required only if GetQuorum is handling your campaign’s printing and mailing.

  • Occupancy Status: Indicate which owners live on-site vs. off-site (essential if an Owner-Occupied seat is up for election).

Accepted Data Format

The GetQuorum Platform exclusively accepts data in Excel (.xlsx or .csv) format. Please ensure your data is organized in a clear, tabular layout.

Incompatible Formats

Do not submit your data in the following formats, as they cannot be processed by the platform:

  • PDFs of owner data.

  • Mailing Labels (Word or Excel).

  • Word Documents with inlaid tables.

  • Data pasted directly into the body of an email.

Submission Deadlines

To ensure your notices are served according to your statutory timeline:

  • Recommended: Provide documents 24 hours before the deadline date found in your timeline email.

  • Final Cut-off: Documents are accepted until 4:00 PM on the deadline date.
